Bookings are subject to availability and therefore we cannot guarantee you a place on any course until payment has been received and acknowledged.

Booking confirmation will be sent to you immediately for all online bookings. If you have not received an email confirmation within 24 hours of making the online booking, please contact the team using the details above.

Payment must be made at the time of booking.

Credit/debit card payment can be made via the website or over the phone. 

By exception, payment by invoice can be processed with a valid purchase order, where appropriate. Payment must be received within 30 days of invoice date or before the course delivery date, whichever occurs first.  Please note: This payment method will not be accepted if a booking is made 14 days or less before the course date. Payment must be made by credit/debit card in this instance.

If you cannot attend a course, you can transfer your place to another individual or course date. You must notify us of this no less than 14 days in advance of the training course delivery date.

A delegate place can be transferred to another course, provided that the request is received more than 14 days before the course date.  Please note additional charges may be applicable and we cannot guarantee availability on the course the delegate wishes to transfer to. A delegate can only transfer their place once.  If the delegate cannot make the re-arranged date, this will be treated as a cancellation.

The charge for cancelling your booking is:

  • less than 14 days before the event - no refund (transfer to another individual or course only)
  • 14 days or more before the event - a refund less a £50 discretionary administration fee

All transfer and cancellation requests must be made in writing and sent to TSDEnquiries@youngminds.org.uk with COURSE CANCELLATION or TRANSFER in the subject field.

YoungMinds accepts no liability if a delegate is unable to attend a course due to illness, adverse weather conditions or any travel disruption.

YoungMinds accepts no liability if an event is cancelled or postponed for reasons beyond our reasonable control resulting from an act of God, governmental regulation, fire, war, terrorist activity or civil commotion.

It may be necessary for reasons beyond our control to change the content and timing of the programme, the trainer(s), the date(s) or the venue at any time prior to the course date(s).

If YoungMinds has to cancel the course, our liability in the event of cancellation is limited to a full refund of the course fee only. We will not refund any travel or hotel costs associated with the cancellation of a course.

If training materials are distributed on the day of the course, this documentation is made available only to those attending the course.  All YoungMinds materials including course handouts and delegate packs are copyright and must not be used or copied without permission.

YoungMinds’ speakers/trainers make every effort to ensure the validity and accuracy of the information they provide. The views and opinions expressed by the speakers/trainers do not necessarily represent the views of YoungMinds.

YoungMinds reserves the right to film, record or photograph any of the speakers at an event for post event purposes. Delegates are advised that this may result in incidental inclusion of delegates within any recording or photographs. YoungMinds will inform delegates on the day if filming or photography will take place. If a delegate does not wish to be filmed or photographed they should make this known to the trainer.

  1. The protection of personal privacy is an important concern to YoungMinds. Any personal data collected will be treated in accordance with current data protection legislation.
  2. We will use your personal data to deliver your course services (webinars, conferences, training and dinners) incorporating; administration (pre, post and during the event), communications, invoicing & payment, delegate lists (we are unable to remove you from delegate lists once these have gone to print), post-event feedback, quality, research and voting.
  3. In order to meet our event obligations to you we may share relevant personal data with presenters, venues, trainers, organisers, print houses, finance partners, connected communities and external delivery partners.

Covid-19 booking terms and conditions:

  • The capacity of the venue will be such as to provide the required social distance of 1m+ throughout the session and at break times.
  • The commissioning organisation is responsible for providing YoungMinds with a COVID-19 Risk Assessment, ideally at point of booking or at least 14 days in advance.
  • If satisfactory, the Risk Assessment will be signed off by the management team at YoungMinds. The commissioning organisation will then receive a written confirmation the training or service design activity can proceed.
  • The day before the event, YoungMinds needs to receive confirmation that no-one attending the event has been in contact with the commissioning organisation to say they have COVID-19 symptoms within 14 days of the event - nor awaiting a test due to close contact.
  • Use of shared materials such as venue laptops, pens, flipchart paper, etc. should be avoided.
  • YoungMinds staff need to be able to use their own laptop.
  • YoungMinds staff will likely be wearing PPE / mask / face-shield.
  • YoungMinds will send out digital handouts to the commissioning organisation to be circulated to participants electronically.
  • On the day of the event, the room must be set out as per the Risk Assessment and the number of participants not exceed the agreed number. If this doesn’t happen, the YoungMinds staff member/s will leave the premises immediately for their own safety.

Payment must be made by invoice and can only be processed with a valid Purchase Order number, where appropriate. Payment must be received within 30 days of invoice date or before the event delivery date, whichever occurs first.

Bookings are deemed as confirmed once the commissioning organisation has acknowledged receipt of our email that sets out YoungMinds’ terms and conditions.

The charge for cancelling your booking is:

  • less than 14 days before the event - no refund
  • between 14 and 30 days or more before the event - 50% of the agreed price

In the event that the commissioning organisation requests a transfer of course or module date, YoungMinds will use all reasonable endeavours to accommodate the request but an administration fee of £50 will be payable together with any non-transferable committed costs including but not limited to any fees agreed with YoungMinds' contracted trainer(s) and any travel, venue or accommodation costs which may not be refunded or for which there are cancellation charges.

All transfer requests must be made in writing and sent to TSDEnquiries@youngminds.org.uk with COURSE TRANSFER in the subject field.

As all of our sessions are personalised, we will discuss with you and agree to plan a training session that meets your needs.

Please ensure that you provide us with as much detail as you can about the training session e.g. type of audience, knowledge level, training objectives etc. Please note that the maximum number of participants for any training session is 20. If you wish to discuss training for a larger audience, please contact TSDEnquiries@youngminds.org.uk.

If any changes to details or arrangements have to be made, please inform YoungMinds no less than 14 days in advance of the course date so that we can adapt our session accordingly.

The maximum number of hours to constitute a full day of face to face training is 6, including breaks, with the maximum for a half day being 3.5. The maximum number of hours to constitute one online training session is 3.5, including breaks. When sessions are run back to back, trainers must have adequate breaks built in to the programme.

The client will be responsible for organising:

  • a suitable venue with access to training equipment such as laptop, PowerPoint data projector, wi-fi, flipchart and audio speakers (face to face training only)
  • refreshments and lunch for participants (if appropriate, face to face training only)
  • the booking of and liaising with participants (both face to face and online training)

In most circumstances, training materials will be distributed on the day of the course, if the training is taking place face to face.  For online training, PDF materials will be distributed after the course.  This documentation is made available only to those attending the course.  All YoungMinds materials including course handouts and delegate packs are copyright and must not be used or copied without permission.

If the client wishes to film an event with YoungMinds speakers and/or Young Activists, this must be arranged and authorised by YoungMinds at least 14 days prior to the event, due to safeguarding responsibilities. Please contact TSDEnquiries@youngminds.org.uk to ask for authorisation.

Following the event, delegates should expect to complete a feedback form either online or paper form. We would ask this is completed and returned to the Trainer after the event or, if not possible, within seven days of receipt, to enable YoungMinds to collect evidence around the impact of our training.

Unless otherwise agreed, YoungMinds will design, distribute and collect participant evaluation forms. They will be analysed and a summary report will be sent onto the client on request.

In the event of any concerns or complaints arising in relation to the delivery of a training event or project, the client should notify YoungMinds in writing at the earliest opportunity at TSDEnquiries@youngminds.org.uk with COMPLAINT in the subject field. The YoungMinds complaints policy will then be followed.
